AI automation for small businesses
I connect the tools you already use so routine admin like bookings, invoices, and customer emails runs on its own, accurately, every time.
Start a projectWho this is for.
This is for owners and small teams who spend hours each week moving information between systems by hand. You do not need to be technical. You only need to know where the time goes.
You type the same details into three places
A booking comes in on the website, then gets copied into a spreadsheet, then into an invoice, then into an email. Every step is a chance for a typo.
Admin eats into the work that pays
Answering the same questions, chasing payments, and sending confirmations takes time you would rather spend with customers.
Things slip when you are busy
In peak season a missed email or a forgotten invoice costs money and goodwill.
You are curious about AI but unsure where to start
You want practical help, not a sales pitch, and you want to know what it will cost before you commit.
What I deliver.
An automation is a set of steps that runs by itself when something happens, like a new booking or a form submission. Here is what that can look like in practice.
Booking and enquiry automation
When someone books or enquires on your website, the details go straight into your records and the customer gets a confirmation. Nobody has to retype anything.
Invoicing and payment follow-up
Invoices are created in your accounting software, such as Xero, from the booking or order details, and reminders go out on schedule.
Customer email that sends itself
Confirmations, reminders, preparation details, and follow-ups go out from your own email account, such as Gmail, at the right time and in your voice.
Form handling and tidy data
Website forms feed into the right place, whether that is a spreadsheet, Airtable, or a CRM, with formatting and duplicates sorted out on the way in.
Reporting without the spreadsheet work
A regular summary of bookings, sales, or enquiries arrives in your inbox, built from data your systems already hold.
AI-drafted responses
For common customer questions, AI can draft a reply from your own information for you to check and send. You stay in control of what goes out.
How it works.
Step 1: A conversation about your week
We walk through how work moves through your business and where the time goes. You do not need to prepare anything technical.
Step 2: Pick one workflow
We choose the workflow that will save the most time or prevent the most mistakes. Starting with one keeps the cost and the risk low.
Step 3: Map it out
I write down each step, the systems involved, and what should happen when something unusual comes up, and confirm it with you before I build.
Step 4: Build and test
I connect your systems and test with real examples, including the awkward ones, before anything goes live.
Step 5: Go live and hand over
The automation goes live with plain notes on how it works and what to do if something looks wrong. I watch the first runs closely.
Step 6: Add the next one
Once the first workflow is running well, we can look at the next. Ongoing support can be covered by a monthly maintenance plan.

Why Reddogdesigns.
I have spent 25 years designing websites and building the systems behind them, so I understand both sides: what your customers see, and what has to happen after they click. I connect the systems you already use rather than asking you to switch, and I explain everything in plain language.
25 years building for the web
I have run Reddogdesigns since 2001 and have seen most of the ways a web project can go wrong, so I plan around them from day one. As a senior UX/UI designer and front-end developer, I do the design and the code myself, so nothing gets lost in a handoff.
Craft CMS since 2013
I have worked with Craft CMS almost exclusively since it launched in 2013, and I build on WordPress and Shopify when they suit the project better.
Enterprise background
Past clients include Adobe, SAP, Disney, lululemon, Telus, Oracle, National Geographic, and design agencies across North America.
Flexible capacity
Reddogdesigns is a solo studio. I bring in trusted design, development, and content specialists as a project needs them, and use AI-assisted development to deliver faster. You always deal with me.
Pricing.
Projects typically start at $2,500 CAD.
What affects the cost
- How many systems need to connect
- Whether those systems have ready-made connections or need custom work
- How many exceptions and unusual cases the workflow must handle
- Whether AI drafting or sorting is part of the workflow
- Monitoring and changes after launch

Frequently asked questions.
What is AI automation for a small business?
It is software that handles repetitive tasks for you, like moving booking details into your records, creating invoices, or sending confirmation emails. Some steps use AI, for example to draft a reply or sort an enquiry. Many steps are simple rules that run the same way every time.
Do I need to change the software I use?
Usually not. I connect the systems you already rely on, such as your website, Gmail, Xero, Airtable, or a spreadsheet. If a tool cannot connect, I will tell you and suggest options.
How much does business process automation cost?
A sprint to automate one workflow typically starts at $2,500 CAD. The price depends on how many systems are involved and how many exceptions the workflow has to handle. You get a fixed quote before work starts.
Will AI email my customers without me checking?
Only if you want it to. For anything sensitive, AI-drafted responses wait for your approval. Routine messages like booking confirmations can go out automatically.
What happens if an automation breaks?
I set up alerts so you hear about a problem before your customers do. I can look after automations on a monthly maintenance plan, which includes hours for fixes and changes.
Where does my customer data go?
Automations use the connections your software already provides, with access limited to what each step needs. Your data stays in your own accounts.
Do you work with businesses outside Vancouver?
Yes. I work with clients across Canada and the US, and automation projects work well remotely.
